Administrative Specialist Schedule; Mon-Fri -- 7am-3pm We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be professional, polite, and attentive while also being accurate. The ideal candidate must have independent and reliable transportation in order to travel to post office daily to collect mail. Candidates should be able to organize their work using tools, like MS Excel and office equipment. Duties of the Administrative Specialist include providing support to our employees and our executive team, preparing reports and maintaining appropriate filing systems, assisting in daily office needs and managing our company?s general administrative activities. Ultimately, a successful Admin Specialist should ensure the efficient and smooth day-to-day operation of our office. Must be currently located in AZ to be considered for position. CANDIDATES MUST BE LOCATED IN PHOENIX METRO AREA AND ABLE TO COMMUTE TO GILBERT ON A DAILY BASIS (MON-FRI). Responsibilities ? ABILITY TO MULTI-TASK WHILE MAINTAINING QUALITY DELIVERABLES ? COLLECT DAILY MAIL AT THE LOCAL USPS ? Organize and distribute all Electronic Correspondence ? Organize and distribute all USPS Correspondence ? Conduct critical account management and organization ? Thorough account notation ? Clerical tasks such as; posting payments, reconciliation, ? Assist in the preparation of regularly scheduled reports ? Maintain a filing system ? Adhere to company's quality assurance policies and procedures ? Complete all company required compliance training ? Adhere to company's compliance policies and procedures ? Liaise with executive and senior administrative assistants to handle requests and queries from senior managers Skills ? Proven experience as an administrative assistant or office admin assistant ? Knowledge of office management systems and procedures ? Working knowledge of office equipment, like printers, scanners and fax machines ? Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) ? EXCELLENT TIME MANAGEMENT SKILLS AND THE ABILITY TO PRIORITIZE WORK ? Attention to detail and problem solving skills ? Excellent written and verbal communication skills ? Strong organizational skills with the ability to multi-task ? High School degree ?
