Position Overview

arenaflex is hiring a Remote Entry-Level Travel Customer Experience Specialist to join our growing team of travel professionals. In this role, you will serve as a trusted advisor to clients, guiding them through every stage of the travel planning process — from the first conversation about their dream vacation to the moment they return home with memories that last a lifetime.

As a Remote Travel Customer Experience Specialist at arenaflex, you will work virtually with clients, vendors, and team members to curate highly personalized itineraries. You will respond to inquiries, recommend destinations and accommodations, coordinate logistics with hotels, cruise lines, resorts, and event organizers, and ensure every detail is handled with care. Key Responsibilities

Client Relationship Management

• Build genuine, trust-based relationships with clients to understand their travel preferences, interests, budgets, and aspirations

• Serve as the primary point of contact throughout the planning process, providing timely updates and proactive communication
• Maintain accurate client records, preferences, and communication history within arenaflex systems

Personalized Travel Planning

• Design custom itineraries that include transportation, lodging, activities, dining, and special touches tailored to each client
• Recommend hotels, resorts, cruise lines, tours, excursions, and event tickets that align with client needs and expectations
• Coordinate complex multi-component trips including family vacations, destination weddings, honeymoons, anniversary celebrations, and group travel
• Present polished proposals that clearly outline options, pricing, inclusions, and next steps

Vendor Collaboration and Coordination

• Partner with a wide network of travel vendors — including hotels, cruise lines, tour operators, event organizers, and ticket providers — to secure preferred rates and availability
• Negotiate group bookings, upgrades, and added-value perks whenever possible to elevate the client experience
• Manage all booking confirmations, payment schedules, and documentation to ensure a seamless process

Destination Expertise and Industry Awareness

• Stay current on travel trends, emerging destinations, seasonal offerings, and industry news to provide informed recommendations
• Continuously expand your knowledge of popular and off-the-beaten-path destinations, including local culture, customs, and must-see attractions

Customer Service Excellence

• Respond promptly and professionally to client inquiries via phone, email, chat, and video conferencing
