Position Overview

We are seeking a meticulous, tech‑savvy Remote Data Entry Specialist to join our growing team. This full‑time role operates Monday through Friday, 9 am – 6 pm PST, and is 100 % remote. The successful candidate will be responsible for transforming source documents—ranging from medical records to financial statements—into precise, searchable data within our secure systems. You will play a critical role in maintaining the fidelity of information that healthcare professionals rely on for diagnosis, treatment planning, and regulatory reporting.

Key Responsibilities

  • Document Preparation: Gather, organize, and prepare source documents (paper or electronic) for entry into the designated database, ensuring that each file is complete and legible.
  • Data Entry & Verification: Accurately input both alphabetic and numeric data from source documents into the appropriate system, then cross‑check entries against original documents to confirm 100 % accuracy.
  • Discrepancy Resolution: Identify missing pages, incomplete information, or inconsistencies; resolve issues using standard operating procedures or coordinate with the team leader for clarification.
  • Quality Assurance: Perform routine audits of entered data, correct duplication errors, and implement corrective actions to maintain data integrity.
  • Security & Compliance: Follow arenaflex’s data security policies at all times, including HIPAA‑compliant handling of personal and financial information, and execute daily database backups.
  • Clerical Support: Execute ancillary tasks such as sorting, filing, emailing, proofreading, and other administrative duties as needed to support the broader team.
  • Continuous Improvement: Proactively suggest workflow enhancements, identify bottlenecks, and contribute ideas that improve overall data processing efficiency.
  • Team Collaboration: Communicate effectively with supervisors, peers, and cross‑functional partners, fostering a positive, team‑oriented environment.
  • Ad‑hoc Projects: Participate in special projects, data migration initiatives, or process‑optimization studies as assigned.

Essential Qualifications

  • High school diploma or equivalent (GED) is required.
  • Minimum of six (6) months of related data‑entry experience, or an equivalent combination of training and practical exposure.
  • Demonstrated proficiency with standard office equipment—computer, fax, copier, scanner, and telephone.
  • Strong command of Microsoft Office Suite (Word, Outlook, Excel) and comfortable navigating the Internet and cloud‑based applications.
  • Typing speed of at least 40 words per minute with a high degree of accuracy.
  • Exceptional attention to detail; ability to spot and correct errors before they propagate.
  • Excellent written and verbal communication skills; capable of conveying information clearly and asking clarifying questions when needed.
  • Commitment to maintaining confidentiality of sensitive health and financial data in accordance with HIPAA regulations.
  • Self‑motivated, reliable, and able to thrive in a remote work setting with minimal supervision.

Preferred Qualifications & Experience

  • Prior experience working in a medical office, health‑care billing, or related clinical environment.
  • Familiarity with electronic health record (EHR) systems such as Epic, Cerner, or Athenahealth.
  • Exposure to data‑validation tools, OCR (Optical Character Recognition) software, or automated data‑capture platforms.
  • Certification in medical coding (CPC, CCS) or a background in health‑information management.
  • Demonstrated ability to improve processes, such as reducing entry time per document or increasing audit pass rates.

Core Skills & Competencies

  • Technical Literacy: Comfortable troubleshooting basic software issues, installing updates, and navigating multiple applications simultaneously.
  • Organizational Acumen: Ability to manage large volumes of documents, prioritize tasks, and meet strict deadlines without sacrificing quality.
  • Analytical Mindset: Strong problem‑solving skills to identify root causes of data discrepancies and implement lasting solutions.
  • Communication: Clear, concise, and courteous interaction with team members, supervisors, and external partners.
  • Adaptability: Flexibility to adjust to evolving workflows, new software tools, and shifting project priorities.
  • Team Spirit: Commitment to fostering a supportive, collaborative atmosphere that encourages knowledge sharing and mutual success.
