Position Overview

We are seeking a detail‑oriented, proactive Customer Service Representative (CSR‑2) to join the arenaflex Sales & Distribution team. In this pivotal role, you will act as the bridge between our account managers and the production floor, processing customer orders, verifying purchase details, and ensuring that every order moves smoothly from quotation to delivery. This is a full‑time, non‑exempt position reporting directly to the Director of Sales. The work schedule is Monday through Friday, 8:00 am – 5:00 pm, with minimal travel required.

Key Responsibilities

  • Order Entry & Management: Accurately enter orders generated by account managers into the arenaflex Operating System, create tickets, and forward them to scheduling.
  • High‑Value Order Verification: Review all orders exceeding $5,000 for accuracy, cross‑checking quotations, purchase orders, and customer specifications.
  • Inventory Coordination: Document and arrange releases from inventory, ensuring that required materials are available for production.
  • Documentation & Filing: File tickets for completed jobs, maintain records of custom labels, bills of lading, job tickets, invoices, and other internal forms.
  • Production Knowledge: Maintain a thorough understanding of arenaflex’s production capabilities and product portfolio to answer customer inquiries confidently.
  • Purchase Order Reconciliation: Evaluate purchase order correspondence with quotations, resolve discrepancies with account managers, and keep the workflow moving efficiently.
  • Customer Returns & Haz‑Mat Handling: Prepare materials for return to customers and document hazardous‑material orders in compliance with safety regulations.
  • Marketing Materials Coordination: Order and track marketing collateral to support sales initiatives.
  • Record Management: Manage arenaflex Shared Services (FSI) and arenaflex Compliance (FSC) records, ensuring data integrity and accessibility.
  • Account Manager Backup: Fill in for account managers during absences, handling emails, voicemails, and decision‑making that may impact business outcomes.
  • Cross‑Functional Support: Assist the estimating department and perform additional tasks delegated by the Director of Sales.
  • Safety Compliance: Operate in strict accordance with Safe‑Well policies, contributing to a safe workplace culture.
  • Team Collaboration: Embrace a flexible mindset, willingly taking on duties outside the core job description to support team goals.

Essential Qualifications

  • Education: High school diploma or GED required; an associate’s degree in business, logistics, or a related field is preferred.
  • Experience: Minimum of 2 years of experience in order processing, customer service, or a manufacturing environment.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn the arenaflex Operating System.
  • Accuracy & Attention to Detail: Demonstrated ability to perform work with a high degree of precision and thoroughness.
  • Communication Skills: Excellent oral and written communication abilities; capable of conveying complex information clearly to internal teams and external customers.
  • Organizational Skills: Proven track record of managing multiple tasks, prioritizing effectively, and meeting tight deadlines.
  • Problem‑Solving Ability: Strong analytical mindset with the capacity to identify issues, propose solutions, and follow through to resolution.
