Key Responsibilities of the Data Entry Representative

As a Data Entry Representative at arenaflex, you will play a critical role in supporting billing operations for our diagnostic laboratory partners. Your primary responsibilities will include, but are not limited to, the following:

  • Billing Data Entry: Accurately enter billing mnemonics, patient demographics, medical codes, insurance carrier details, and other required billing information from imaged requisitions into our proprietary systems. This requires meticulous attention to detail, as even minor errors can lead to claim denials or delayed reimbursements.
  • Billing Data Acquisition: Gather, verify, and input data from multiple sources to ensure the completeness and accuracy of billing records. You will work closely with imaged documents and electronic files to extract essential information.
  • Manual Mail Returns Processing: Research and resolve mail returns by updating invoices with current patient and address information in the appropriate billing system. You will document all actions taken on patient bills to maintain a clear audit trail.
  • Third-Party Denials Resolution: Investigate denied claims caused by issues such as patients not being covered on the date of service, errors in patient information, or inaccuracies in insurance details. You will work to resolve these issues and prepare claims for re-billing.
  • System Navigation and Application Use: Utilize multiple computer applications daily, including Microsoft Word, Microsoft Excel, web-based platforms, and mainframe systems. You will be expected to learn new and complex applications quickly and efficiently.
  • Template-Based Correspondence: Create letters, emails, and other correspondences using pre-designed templates to communicate with patients, insurance providers, and internal stakeholders.
  • Data Transfer and Cycle Initiation: Transfer and enter received data from diagnostic partners into the required applications to initiate the billing cycle promptly.
  • Research and Problem-Solving: Conduct basic research within computer applications to locate addresses, billing codes, reject codes, and other relevant data needed to complete accurate data entry.
  • Patient Inquiry Support: Follow established procedural guidelines to answer patient inquiries related to billing, insurance, and account status, always maintaining a professional and empathetic tone.

Required Qualifications

To be successful in this role, candidates must meet the following minimum requirements:

  • Data Entry Experience: A minimum of one (1) year of professional data entry experience, preferably in a healthcare, insurance, or financial services environment.
  • Customer Service Experience: Prior experience in a customer-facing role, demonstrating strong communication skills and the ability to handle inquiries with professionalism and empathy.
  • Bilingual Proficiency: Professional fluency in both English and Spanish (spoken and written) is required. You will be communicating with patients, providers, and insurance representatives across diverse linguistic backgrounds.
  • Technical Proficiency: Demonstrated ability to use Windows-based PCs, navigate web applications, and learn complex computer systems quickly. You should be comfortable working with multiple applications simultaneously.
  • Availability: Ability to work 40 hours per week during standard business operating hours, Monday through Friday, from 7:00 AM to 4:30 PM. Occasional overtime on weekends and holidays may be required based on business needs.

Preferred Qualifications

While not required, the following qualifications will give you a competitive edge:

  • Medical Billing Experience: Prior experience in medical billing, healthcare revenue cycle management, or a related field is highly desirable.
  • Healthcare Terminology Knowledge: Familiarity with medical terminology, health insurance terminology, or diagnostic laboratory processes.
  • Advanced Excel Skills: Proven proficiency in Microsoft Excel, including the ability to create spreadsheets, use formulas, and analyze data.
