Position Overview

This is a fully remote, full‑time (or part‑time) opportunity that offers a dynamic, high‑volume call‑center environment. You will join a dedicated team of professionals who handle an average of 75 calls per day, providing accurate information, processing payments, and documenting interactions in multiple systems. Your role is pivotal in upholding arenaflex’s reputation for exceptional service and patient‑centric care.

Key Responsibilities

  • High‑Volume Call Management: Answer, triage, and resolve an average of 75 inbound calls daily, delivering courteous and knowledgeable assistance.
  • Insurance & Billing Guidance: Explain insurance coverage, cost estimates, and payment options to patients and prospective clients, translating complex policy language into clear, actionable information.
  • Payment Processing: Securely receive and process credit‑card payments over the phone, adhering strictly to PCI‑DSS compliance protocols.
  • Accurate Documentation: Record detailed call notes, case updates, and payment transactions in arenaflex’s billing and customer relationship management (CRM) systems.
  • Record Maintenance: Review, update, and reconcile patient billing records, ensuring accuracy of account balances, payment histories, and case notes.
  • HIPAA & Data Privacy: Safeguard patient confidentiality by following HIPAA regulations and internal data‑security policies at all times.
  • Multi‑System Navigation: Efficiently operate multiple software platforms simultaneously, including billing, laboratory information systems (LIS), and internal knowledge bases.
  • Team Collaboration: Partner with billing specialists, clinical staff, and IT support to resolve escalated issues and improve workflow efficiency.
  • Continuous Improvement: Contribute ideas for process enhancements, script updates, and training materials based on frontline experience.
  • Additional Duties: Perform other related tasks as assigned, supporting the broader goals of the arenaflex Women’s Health team.

Essential Qualifications

  • High school diploma or equivalent (required).
  • 1–3 years of experience in a high‑call‑volume customer service or medical billing environment (preferred).
  • Demonstrated ability to communicate complex information clearly and concisely, both verbally and in writing.
  • Proficiency with Microsoft Windows, Office Suite, and database applications.
  • Strong organizational skills with meticulous attention to detail.
  • Ability to review large data sets for accuracy and identify discrepancies.
  • Commitment to maintaining patient confidentiality and adhering to HIPAA guidelines.
  • Reliable high‑speed internet (minimum 50 Mbps) and ability to connect equipment via Ethernet cable.
  • Flexibility to work the required schedule: Monday‑Friday, 7:30 am – 4:00 pm PST / 10:30 am – 7:00 pm EST.

Preferred Qualifications & Skills

  • Associate’s or bachelor’s degree in health administration, business, or a related field.
  • Experience with XIFIN (arenaflex) billing software or similar healthcare revenue‑cycle platforms.
  • Knowledge of CPT and ICD‑10 coding systems (highly preferred).
  • Familiarity with Medicare and Medicaid billing processes.
  • Previous experience in laboratory billing and Laboratory Information System (LIS) operations.
  • Fluency in both English and Spanish, enabling bilingual support for a diverse patient population.
  • Excellent written and verbal communication skills, with the ability to follow established protocols and procedures.
  • Demonstrated ability to remain calm and professional in a fast‑paced, high‑stress environment.
