Position Summary

The Remote Data Entry Specialist at arenaflex plays a vital role in maintaining the integrity of our clients' data ecosystems. You will be responsible for transferring information from a variety of source documents into digital systems, databases, and structured records. This role requires a fast and accurate typist who can manage large volumes of information while maintaining exceptional standards of confidentiality and quality. Reporting to the Data Operations Manager, you will work independently and collaboratively to support arenaflex's mission of delivering flawless information management services.

Key Responsibilities

  • Transfer data from paper documents, digital files, audio recordings, and scanned images into designated databases, spreadsheets, and electronic record systems with high accuracy.
  • Enter information into appropriate fields, ensuring proper categorization, formatting, and tagging for easy retrieval and analysis.
  • Handle numerical data with precision, including creating, updating, and maintaining complex spreadsheets containing large datasets.
  • Curate and transcribe data directly from verbal recordings, interviews, dictations, and voice memos into structured text formats.
  • Update existing databases, records, and files with new information as it becomes available, ensuring real-time accuracy across all systems.
  • Identify, correct, and modify inaccurate files, records, and entries; flag inconsistencies for further review when necessary.
  • Type data directly from source materials with speed and accuracy, maintaining productivity benchmarks established by arenaflex.
  • Comply with all security protocols, perform regular data backups, and conduct routine checks to ensure information is saved and stored properly.
  • Summarize raw data into standardized reports, executive summaries, and visual presentations for internal and client use.
  • Verify the accuracy of entered data by carefully cross-referencing and comparing source documentation against entered records.
  • View and verify confidential customer and client information while strictly protecting the privacy and identities of all stakeholders.
  • Organize paper formats, physical backups, and material source files as needed to support hybrid record-keeping practices.
  • Assist team members in accomplishing shared goals, contributing to a culture of collaboration and continuous improvement at arenaflex.

Essential Qualifications and Requirements

  • Typing Proficiency: Demonstrated ability to type accurately and quickly; knowledge of touch typing systems is strongly preferred.
  • Attention to Detail: Accurate and precise focus on detail, with a proven track record of catching errors and inconsistencies.
  • Communication Skills: Strong written and verbal communication abilities, including clear and professional speaking for voice recording data entry.
  • Time Management: Excellent time management skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Process Documentation: Skilled in generating process documentation, training materials, and standard operating procedures.
  • Teamwork: Willingness to assist team members when needed to accomplish collective team goals and shared objectives.
  • Confidentiality: Thorough understanding of data confidentiality principles and an unwavering commitment to following them to the letter.
  • Education: High school diploma required; an associate's degree or bachelor's degree in business, administration, or a related field is preferred but not mandatory.
  • Experience: Prior experience handling data entry responsibilities or equivalent experience in a related field is highly valued.

  • Basic knowledge of database structures, SQL queries, or data validation techniques.
