Position Overview

The Remote Entry-Level Data Entry & Typing Specialist is a vital member of the arenaflex Adult Education Office. In this role, you will manage multiple databases, ensure the integrity of grant‑related data, and support day‑to‑day clerical operations. This is a fully remote position, open to candidates residing in the United States, and offers a clear pathway for professional growth within a supportive, mission‑focused organization.

Key Responsibilities

  • Maintain and update multiple databases to guarantee accurate record‑keeping and organized data structures.
  • Enter required grant data precisely into the National Reporting System (NRS), meeting monthly, quarterly, and year‑end deadlines.
  • Track attendance and assessment data, adhering to established procedures and compliance standards.
  • Safeguard student information in full compliance with FERPA regulations, ensuring confidentiality and security.
  • Conduct regular error checks and perform data clean‑up in NRS to support reliable reporting and analytics.
  • Provide timely data access to staff, stakeholders, and external partners, facilitating informed decision‑making.
  • Organize and prioritize tasks to meet local, state, and program deadlines without compromising quality.
  • Monitor and evaluate student outcomes, including pre‑ and post‑testing for state‑mandated assessments.
  • Participate actively in virtual staff meetings, professional development sessions, and collaborative projects.
  • Scan, label, and archive physical documents, ensuring digital versions are searchable and well‑structured.
  • Perform inventory checks on office supplies and request replenishments as needed.
  • Execute basic word processing tasks, including drafting correspondence, creating templates, and formatting reports.
  • Organize digital files and materials, applying consistent naming conventions and folder hierarchies.
  • Prepare mailings, assist with filing, and support other administrative assignments as directed.

Essential Qualifications

  • High School diploma or GED (required).
  • Demonstrated knowledge of standard office practices and procedures.
  • Proficiency with Microsoft Office Suite, especially Excel (formulas, pivot tables, data validation).
  • Ability to work quickly and accurately while maintaining a high level of attention to detail.
  • Strong organizational skills with the capacity to plan, prioritize, and meet multiple deadlines.
  • Effective written and verbal communication skills; ability to collaborate with remote teams.
  • Comfortable working under pressure with frequent interruptions, maintaining composure and productivity.

Preferred Qualifications & Additional Skills

  • Experience with data entry in educational or grant‑management settings.
  • Familiarity with FERPA compliance and data privacy best practices.
  • Exposure to database management tools beyond Excel (e.g., Access, Google Sheets, or specialized education platforms).

Physical & Cognitive Requirements

While this role is fully remote, you will need to:

  • Engage in frequent verbal communication, delivering clear instructions and updates to teammates.
  • Maintain normal cognitive abilities, including learning, recalling, and applying policies and procedures.
  • Spend extended periods seated at a workstation, using a computer and standard office equipment.
