Position Summary

arenaflex is currently seeking a dedicated, articulate, and compassionate Remote Customer Experience Specialist – Patient Account Services to join our growing Corporate team. In this role, you will serve as the first point of contact for patients calling about their accounts, billing inquiries, payment arrangements, and service-related questions. You will handle a high volume of inbound calls in a courteous, professional, and timely manner, while maintaining a calm and positive demeanor even in challenging situations.

Key Responsibilities

  • Handle a high volume of inbound customer service calls — averaging 65 calls per day — related to patient accounts, payments, billing statements, and general service inquiries.
  • Respond to all incoming calls within 2 minutes of the call entering the system, ensuring minimal wait times and an excellent patient experience.
  • Open and close each call within the dialogue parameters and scripts established by arenaflex leadership, while still maintaining a personal, human touch.
  • Collect and verify patient demographics, insurance information, and other necessary account details with accuracy and confidentiality.
  • Review Explanation of Benefits (EOB) documentation and notate accounts regarding ongoing collection activity to support effective account resolution.
  • Audit patient bills for accuracy and completeness, identifying and obtaining any missing information required to process accounts.
  • Collect patient payments in accordance with established due dates and arrange payment plans within arenaflex-approved guidelines.
  • Generate, complete, and mail patient statements on a timely basis, and process returned mail efficiently to keep accounts current.
  • De-escalate tense or frustrated callers using empathy, active listening, and proven conflict-resolution techniques, always leaving the interaction on a positive note.
  • Create an atmosphere of comfort and reassurance for every patient, treating each call as an opportunity to demonstrate that the patient is arenaflex's first priority.
  • Attend in-service training sessions, seminars, and webinars as scheduled to continuously improve performance and stay current on healthcare billing practices.
  • Maintain regular, reliable, and consistent attendance in accordance with arenaflex attendance policies.

Essential Qualifications

  • Education: High school diploma or equivalent is required.
  • Experience: A minimum of 1 year of customer service experience, preferably in a call center environment, or an equivalent combination of education and relevant experience.
  • Preferred Training: Completion of Customer Service Basics training or an equivalent program is highly desirable.
  • Technical Proficiency: Demonstrated ability to use Microsoft Office products (Word, Excel, Outlook) and to navigate the Internet efficiently.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to convey information clearly, concisely, and understandably.
  • Active Listening: A strong ability to listen attentively, interpret caller needs accurately, and respond with empathy and clarity.
  • De-escalation Skills: Proven ability to remain calm, positive, and professional when interacting with difficult or distressed customers.
  • Customer-Centric Mindset: A genuine passion for providing outstanding customer service and creating positive patient experiences.

Preferred Skills & Competencies

  • Prior experience in healthcare billing, medical collections, insurance verification, or a related field.
  • Familiarity with EOB documentation, patient account notations, and standard healthcare revenue cycle processes.
  • Comfort working within structured call dialogue scripts while still personalizing each interaction.
  • Strong organizational skills and the ability to manage multiple account tasks simultaneously.
  • High level of attention to detail and accuracy when reviewing bills and entering account data.
  • Self-motivation and discipline to succeed in a fully remote work environment.
  • Adaptability to evolving policies, procedures, and technology platforms.

Work Environment & Schedule

This is a fully remote position, allowing you to work from the comfort of your own home while being part of a connected, supportive arenaflex team. To be considered for this role, candidates must be available to work the scheduled shift of 10:30 AM to 7:00 PM Central Standard Time (CST), Monday through Friday. A quiet, professional home office setup with reliable high-speed internet is required.
