Key Responsibilities

  • Execute and maintain regional workflows by providing authoritative support for the CIC initiative team, guaranteeing responsive, accurate, and efficient service for daily regulatory requirements.
  • Apply arenaflex’s standard operating procedures for all movement and costs and P‑Card reconciliation, ensuring compliance with internal controls.
  • Process purchase orders, create PO records, receive shipments, and manage payments using the arenaflex S/4 Hana platform; set up new suppliers/merchants via MDG.
  • Handle PO invoicing and reconciliation within the arenaflex system, maintaining a zero‑error rate.
  • Generate, run, and distribute ad‑hoc reports for the CIC team, providing actionable insights to senior leadership.
  • Develop and maintain hierarchical charts, distribution lists, and contact records to streamline communication across the organization.
  • Research, track, and inventory all department equipment for both in‑office and remote workers, ensuring seamless access to necessary tools.
  • Support and coordinate logistics for quarterly CIC town halls, CIC initiative meetings (both on‑site and virtual), and various department events.
  • Assist with onboarding new team members, including ordering supplies, managing shipments, and preparing welcome kits for remote employees.
  • Perform other duties as assigned, demonstrating flexibility and a proactive attitude toward continuous improvement.

  • Experience processing procurement orders, invoicing, and P‑Card reconciliation.
  • Background in onboarding preparation, supply ordering, and logistics coordination.
  • Prior experience in client support or coordinated operations, preferably within a large, matrixed organization.
  • Demonstrated managerial experience in operations, calendar management, documentation, and record‑keeping.
  • Excellent verbal and written communication skills, with the ability to build relationships across all organizational levels.
