Position Summary

We are seeking a highly motivated Business Administrator to join the Information Security and Protection group at arenaflex. This role is the backbone of our administrative operations, providing seamless support to senior leadership, coordinating complex events, and ensuring that day‑to‑day business processes run with precision and professionalism. Key Responsibilities

  • Prepare, submit, and audit financial reports in alignment with arenaflex policy and regulatory standards.
  • Coordinate and execute a wide range of meetings, from small team huddles to large‑scale corporate events, ensuring flawless logistics and stakeholder satisfaction.
  • Provide proactive administrative and operational support to the leadership team, including calendar management, travel arrangements, and executive onboarding.
  • Manage procurement of office supplies, hardware, and other resources, maintaining optimal inventory levels and vendor relationships.
  • Oversee the setup and maintenance of new employee workstations, ensuring hardware, software, and workspace configurations meet arenaflex standards.
  • Maintain accurate and confidential employee data, applying rigorous data‑classification and privacy protocols.
  • Facilitate employee engagement initiatives such as all‑hands meetings, team‑building off‑sites, and recognition programs.
  • Support cross‑functional projects by tracking deliverables, preparing status reports, and communicating updates to stakeholders.
  • Perform additional routine administrative duties as needed, including document management, filing, and office administration.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, Communications, Psychology, or a related field.
  • Minimum 2 years of experience in administrative, business support, or customer service roles, preferably within a technology or security‑focused environment.
  • Demonstrated ability to plan and execute events, manage travel logistics, and coordinate multi‑departmental initiatives.
  • Strong written and verbal communication skills, with the ability to interact confidently with senior leaders and global partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Teams, SharePoint, or similar platforms.
  • Exceptional organizational skills, a keen eye for detail, and the capacity to prioritize competing demands.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Qualifications & Skills

  • Professional certification in a relevant discipline (e.g., Certified Administrative Professional, Project Management Professional, HR certification).
  • Experience supporting senior executives in a matrixed, multinational organization.
  • Knowledge of procurement processes, vendor management, and contract administration.
  • Familiarity with data‑privacy regulations such as GDPR, CCPA, or ISO 27001.
