The Tinstman Law Firm is looking for a Spanish-Speaking, Client Intake & Scheduling Coordinator to join our team. This is a full-time, Monday–Friday remote position, with a focus on supporting a busy personal injury practice. The Client Intake & Scheduling Coordinator serves as the first point of contact for prospective clients while also managing the daily calendar and scheduling needs of the firm’s lead attorney. This role requires a highly organized, proactive professional who can balance client communication with complex legal scheduling. The ideal candidate is detail-oriented, responsive, and capable of handling sensitive information with professionalism and discretion. RESPONSIBILITIES Client Intake & Communication

  • Serve as the primary point of contact for all new client inquiries via phone, email, and online submissions
  • Conduct initial intake calls to gather relevant case information and assess potential case viability
  • Communicate empathetically and professionally with prospective clients
  • Send retainer agreements and onboarding documents to qualified leads
  • Follow up with potential clients to ensure timely sign-up and engagement
  • Maintain accurate records of all intake activity in the firm’s Filevine case management system

Legal Scheduling Coordination

  • Coordinate depositions, hearings, mediations, and other case-related events across multiple counties in Florida for the medical malpractice department
  • Communicate with clients, opposing counsel, court personnel, and vendors to schedule and confirm proceedings
  • Track and manage all scheduling deadlines and ensure timely coordination
  • Send calendar invites, reminders, and confirmations to all parties

Qualifications

  • 2+ years of experience in legal intake, legal assistant, or scheduling role (Florida litigation experience preferred)

This role combines both client intake and high-level scheduling responsibilities. Success in this position requires strong time management and the ability to shift between client-facing communication and administrative coordination throughout the day.
